Every apprentice on the progress dashboard carries one of four status labels. This page explains what each label means, what the numbers behind it are, and how often it all updates.

A status is a snapshot, not a verdict. It reflects where an apprentice stands this week against the program's expectations. It can change in either direction from one week to the next.

The four statuses

On Track

Meeting the program's good-standing standards and keeping pace with the term schedule. No action needed.

Watch

Starting to slip on attendance or assignments. Worth knowing about, and a quick check-in from the shop can head off a bigger gap.

At Risk

Below standard on attendance, assignment pace, or both. The instructor is already working with the apprentice. Support from the sponsor and the shop helps most here.

Critical

Far enough behind that completing the current level is in question. The instructor reviews every Critical case personally and follows up directly.

Good-standing standards

These are the program-wide targets every status is measured against.

What the columns mean

ColumnWhat it shows
Attendance %Share of scheduled classes attended. Uses the effective attendance rule described below.
Classes attended / totalThe raw count behind the attendance percentage.
Class average %Average score on graded work in the Mike Holt learning platform.
Assignments completed / totalHow many assignments the apprentice has finished out of all assignments for the level.
Expected to dateHow many assignments should be finished by this week, per the published term schedule. This is the pace target.
Pace %Assignments completed compared with the number expected to date. At or above 100% means on or ahead of schedule.
Last submissionDate of the most recent assignment submission, and how many days ago that was.

How attendance is counted

Attendance status uses effective attendance, which is the better of two numbers:

Effective attendance = the higher of (adjusted cumulative attendance, attendance over the most recent 4 classes)

  • Excused absences are removed from the calculation, so they do not count against the apprentice.
  • The recent-4-class window gives credit for turning things around. An apprentice who missed early but has been showing up consistently will see their status improve without waiting for the cumulative number to catch up.

Because of this, a status can improve from one week to the next even when no new assignments were submitted. That is the rule working as intended, not an error.

When the numbers update

The dashboard refreshes once a week, after the weekly learning-platform import. It is not live data. The "Updated" date at the top of each page tells you which week you are looking at. Work submitted after that date shows up in the next update.

Who sees what

  • Sponsors see active apprentices employed by their company only.
  • Apprentices see their own record only.

Questions or corrections

If something on the dashboard looks wrong, such as a misspelled name, the wrong employer, or an absence that should be excused, contact GEAR Montana at robert@gearmt.com and include the apprentice's name and the week in question.
